Receipt Voucher records money received by the business. VauPrime keeps the receipt as a balanced accounting voucher with Debit/Credit rows, account selection, short and long narration, automatic balancing support and a complete existing-voucher workflow.

What is Receipt Voucher?

Understand when this voucher is used and how VauPrime structures it.

Use Receipt Voucher when the business receives money from a customer, person or another account. The receipt is posted through balanced Debit and Credit entries so the amount flows into the relevant account ledgers instead of existing only as an isolated receipt record.

The current Receipt screen prepares enabled Cash-in-hand accounts for the receipt Debit side and keeps the wider enabled account list available for supported counterpart entries. This makes the normal cash-receipt flow simple while retaining the multi-row voucher structure.

Android Receipt Management uses a touch-first two-tab layout. The create form is stacked vertically and the Receipt List uses expandable voucher cards.

Receipt Management is split between creation and existing records.

Add Receipt — create or edit a Receipt Voucher.
Receipt List — search, refresh, expand and manage existing receipts.

Receipt entry interaction

Account rules are applied directly from the row editor.

Debit-side account selection is limited to enabled Cash-in-hand accounts.
Credit-side selection excludes Cash-in-hand and Bank Accounts in the current Receipt flow.
The amount editor lets you choose Debit or Credit, enter Amount and enter row Narration, then Cancel or Save the entry changes.
Add Entry appends a row; long-press supports Insert Above / Insert Below; delete removes the selected row.
Running auto-balance can fill the next row when that row has not already been entered manually.

Receipt List — expandable cards

Existing receipts use the shared Android voucher-list interaction.

Search bar — searches by voucher number or narration.
Refresh button — reloads Receipt List data.
Card title is Voucher Number, subtitle is Long Narration and trailing value is Total Debit.
Tap a card to expand/collapse it; long-press opens Detail directly.

Expanded Receipt actions

Four actions are configured under an expanded receipt card.

Detail — opens complete voucher information and transaction entries.
Share — opens the Receipt sharing flow.
Edit — restores the selected receipt into Add Receipt in edit mode.
Delete — asks for confirmation and deletes the selected receipt when confirmed.

Desktop layout, full entry tables, list columns, row actions, filters and multi-select behavior on Windows.

Windows Receipt Management adds the desktop sidebar and replaces the compact list/cards with full transaction-entry and existing-voucher tables.

Columns include #, D/C, Account, Debit, Credit, Narration and Delete.
Account selection follows Receipt Debit/Credit account restrictions.
Amount entry and narration remain inline on desktop.
Add Entry adds another row; row delete removes it; row context actions support inserting above or below.

Receipt List — Windows table

Saved receipts are displayed as rows instead of expandable cards.

Table columns: Voucher No., Date, Debit Account, Credit Account, Debit, Credit and Narration.
Search — voucher number or narration.
Refresh — reloads Receipt data.
Click a row to open Detail.
Per-row actions: View, Share, Edit and Delete.
Multi-select mode supports selecting several receipts and Bulk Delete.
The current Receipt List does not enable export, sorting or a total row from this screen.

Fields and voucher layout

The main information available while creating or editing the voucher.

Receipt DateRequired date for the receipt. The date must belong to the active financial year.
Voucher NumberAutomatically generated in the RV_ sequence. The current sequence starts from the 1001-style numbering pattern, for example RV_1001.
D / CSelect Debit or Credit for each transaction row.
AccountSelect the account for the row. Enabled Cash-in-hand accounts are specifically identified for the receipt Debit side.
Debit AmountAmount debited in the selected row, commonly the receiving Cash-in-hand account in a cash receipt.
Credit AmountAmount credited in the selected row, such as the customer or other account from which the amount is received.
Short NarrationOptional narration attached to an individual row.
Long NarrationOptional note describing the Receipt Voucher as a whole.
SummaryDisplays Total Debit and Total Credit and makes an imbalance visible before saving.

How Debit and Credit work here

VauPrime keeps the voucher balanced while still allowing multiple accounting rows.

A new Receipt Voucher begins with one Debit row and one Credit row.
The receipt flow identifies enabled Cash-in-hand accounts for the cash-side Debit selection.
When the next row has no manual amount, VauPrime can calculate the running Debit/Credit difference and auto-fill the balancing side.
Switching a row between Debit and Credit moves the amount to the selected side and clears the other amount field.
Example: Cash-in-hand Debit ₹5,000 and Customer Credit ₹5,000 records ₹5,000 received from that customer in cash.

Create and manage the voucher

The normal flow from opening the screen to saving and reviewing the voucher.

Select the receipt date

Choose the transaction date first. VauPrime validates it against the active financial year.

Use the generated RV number

The next Receipt voucher number is generated automatically and remains fixed while editing an existing voucher.

Choose the receiving account

Select the relevant Cash-in-hand Debit account for a cash receipt and choose the counterpart Credit account.

Enter the amount

Fill either Debit or Credit on each row. The running auto-balance can prepare the following row when it has not been entered manually.

Add narration or rows

Use short narration per row, long narration for the whole voucher, and add or insert additional rows when the receipt needs a split entry.

Balance and save

Save only after Total Debit equals Total Credit. The saved voucher becomes available in the Receipt list for later review or editing.

Validation and common errors

Checks VauPrime applies before the voucher can be saved.

At least one enabled account must be available before a Receipt Voucher can be saved.
Receipt Date is required and must be inside the active financial year.
Every row needs a D/C selection and an account.
The same account cannot be placed on both Debit and Credit sides in the same voucher.
Total Debit must equal Total Credit.
Each row needs exactly one amount side: Debit or Credit.
At least one entry must remain in the voucher.
A duplicate voucher number is rejected instead of creating another voucher with the same number.

Review previously created vouchers and continue working with them.

Receipt ListShows existing Receipt vouchers for the active financial-year range, with additional records loaded as needed.
SearchSearch existing receipts from the list without changing their accounting entries.
Open VoucherOpen a saved receipt to inspect its voucher information and Debit/Credit entries.
EditLoads the saved receipt date, voucher number, accounts, amounts and narrations back into the form.
DeleteDeletes a voucher after confirmation. The screen also supports multi-select bulk deletion for selected receipts.
ShareReceipt Management includes the voucher sharing experience for supported receipt structures and business document output.

Important behavior and notes

Details worth knowing before using the voucher in daily accounting.

Cash-in-hand account recognition is based on the enabled account's group, so create/enable the required Cash-in-hand account before using it in the receipt flow.
Auto-balance does not overwrite a following row that already contains a manually entered amount.
Existing receipts are loaded for the selected financial-year period rather than mixing every year into one working list.
The current Lite-plan Receipt screen applies a 25-voucher creation limit before asking for an upgrade to create more.
Budget-level blocking is not currently enforced by Receipt Management itself.
