Contra Voucher

Contra Voucher records movement of money between the business's Cash-in-hand and Bank Accounts. Unlike a general Journal Voucher, VauPrime limits Contra account selection to enabled accounts in those two account groups so cash deposits, withdrawals and bank transfers stay in the correct voucher flow.

What is Contra Voucher?

Understand when this voucher is used and how VauPrime structures it.

Use Contra Voucher when money moves inside the business between Cash-in-hand and Bank Accounts. Common examples include depositing cash into a bank, withdrawing cash from a bank, or transferring money between two bank accounts.

The Contra screen intentionally filters account selection. Only enabled accounts grouped under Bank Accounts or Cash-in-hand are prepared as Contra accounts. If neither type exists, VauPrime asks you to create the required accounts before continuing.

Android Contra Management is a touch-first two-tab screen for Cash-in-hand and Bank transfers. Its layout is similar to the other accounting vouchers, but account selection is intentionally restricted for Contra entries.

Contra entry interaction

The row editor enforces the Contra account model.

Only enabled Bank Accounts and Cash-in-hand accounts are prepared for Contra account selection.
Tap Account to choose the Cash/Bank account for the row.
Tap the amount area to enter the Debit/Credit amount and row narration.
Add Entry creates another row; long-press supports Insert Above / Insert Below; delete removes the row.
Running auto-balance can prepare the following untouched row so Debit and Credit remain balanced.

Contra List — expandable cards

Saved Contra vouchers use list cards on Android.

Search bar filters the current Contra data; the screen's actual filter logic matches Voucher Number or Long Narration.
Refresh reloads the saved Contra list.
Cards display Voucher Number, Long Narration and Total Debit.
Tap expands/collapses the card; long-press opens voucher Detail.

Expanded Contra actions

Contra intentionally exposes fewer expanded actions than Payment, Receipt and Journal.

Detail — opens the full Contra Voucher.
Edit — loads the Contra into Add Contra in edit mode.
Delete — confirms and removes the selected Contra Voucher.
There is no Share action configured in the current Contra expanded-action set.

Windows UI structure

Windows Contra Management uses the permanent desktop sidebar, a full entry table and a data-table based Contra List.

Each transfer row exposes the complete Debit/Credit structure.

Columns: #, D/C, Account, Debit, Credit, Narration and Delete.
Account selection remains restricted to Bank Accounts and Cash-in-hand.
D/C, amounts and narration are editable inline.
Desktop row context actions support Insert Above / Insert Below; Add Entry appends another row.

Contra List — Windows table

Existing Contra vouchers appear as table rows.

Table columns: Voucher No., Date, Debit Account, Credit Account, Debit, Credit and Narration.
Search filters the current list; underlying Contra search matches Voucher Number or Long Narration.
Refresh reloads saved Contra vouchers.
Click a row to open Detail.
Per-row actions: View, Edit and Delete. Share is not configured here.
Multi-select mode supports Bulk Delete for selected Contra vouchers.
Export, sorting and total-row output are not enabled by the current Contra list.

Fields and voucher layout

The main information available while creating or editing the voucher.

Contra DateRequired transaction date. It must fall inside the active financial year.
Voucher NumberAutomatically generated in the CV_#### sequence, starting from the 1001-style numbering pattern such as CV_1001.
D / CSelect Debit or Credit for each Contra entry row.
AccountOnly enabled Bank Accounts and Cash-in-hand accounts are available in the Contra account selection flow.
Debit AmountAmount entering the selected cash/bank account on the Debit side.
Credit AmountAmount leaving the selected cash/bank account on the Credit side.

How Debit and Credit work here

VauPrime keeps the voucher balanced while still allowing multiple accounting rows.

A new Contra Voucher starts with one Debit row and one Credit row.
Only enabled accounts in Bank Accounts or Cash-in-hand can be selected for Contra entries.
Cash deposited into a bank is typically recorded as Bank Debit and Cash-in-hand Credit for the same amount.
Cash withdrawn from a bank is typically recorded as Cash-in-hand Debit and Bank Credit.
A bank-to-bank transfer can use the destination Bank as Debit and the source Bank as Credit.
When a following row has no manual amount, VauPrime can auto-balance it from the running Debit/Credit difference.

Create and manage the voucher

The normal flow from opening the screen to saving and reviewing the voucher.

Confirm Cash/Bank accounts

Before creating a Contra, make sure the required enabled Cash-in-hand or Bank Accounts exist. VauPrime does not use unrelated account groups here.

Select Contra Date

Choose the transfer date within the active financial year.

Use the generated CV number

The next Contra voucher number is prepared automatically using the current CV sequence.

Enter both sides of the transfer

Select Debit/Credit, choose the allowed Cash/Bank account and enter the amount. Add more rows only when the transfer genuinely needs them.

Check narration and totals

Add short or long narration if useful and confirm that Total Debit exactly equals Total Credit.

Save and review

After save, Contra Management refreshes the saved data and opens the Contra List so the new voucher can be reviewed.

Validation and common errors

Checks VauPrime applies before the voucher can be saved.

If no Cash-in-hand or Bank Accounts are available, VauPrime asks you to add the required accounts first.
Contra Date is required and must be inside the active financial year.
At least one Contra entry must be present.
Every row needs a Debit/Credit selection and an allowed account.
The same account cannot be used on both Debit and Credit sides in the same Contra.
Total Debit must equal Total Credit.
Each row must contain an amount in either Debit or Credit, never both.
Duplicate voucher numbering is rejected rather than saving a second voucher with the same number.

Review previously created vouchers and continue working with them.

Contra ListThe second tab shows existing Contra vouchers for the active financial-year range and loads more records as needed.
SearchContra List search matches the voucher number or the voucher's long narration.
Open VoucherOpen a Contra to see voucher type, number, date, Debit/Credit totals, narration and the actual transaction entries.
EditRestores the selected voucher's date, number, Cash/Bank accounts, amounts and narrations into the create form.
DeleteDelete one Contra after confirmation, or select multiple vouchers for bulk deletion.
After SaveThe screen refreshes existing Contra vouchers and moves to the Contra List after a successful save.

Important behavior and notes

Details worth knowing before using the voucher in daily accounting.

Contra is deliberately narrower than Journal. If an account is not under Bank Accounts or Cash-in-hand, it is not prepared for Contra selection.
On wide screens, entries are shown beside Narration and Summary; compact layouts stack the sections vertically.
Auto-balance only fills rows that do not already contain a manually entered amount.
The existing Contra list is financial-year aware and its search specifically checks voucher number and long narration.
The current Lite-plan Contra screen applies a 25-voucher creation allowance before upgrade handling is used for further creation.
